Event Code of Conduct

Last Revised: March 2025

As a registered attendee or participant (“you”) of an EnsembleIQ event (the “Event”), you hereby agree to the Code of Conduct Policy (the “Agreement”). If you are completing the registration on behalf of another individual, you warrant that you have made the participant aware of this Agreement and that he/she/they has/have accepted this Agreement.

EnsembleIQ is committed to providing a respectful, productive, and welcoming environment for all our participants. All participants are expected to abide by the EnsembleIQ Code of Conduct. We reserve the right to ask anyone who is acting contrary to the policy and/or the policies of the venue to leave the event immediately.

Prohibited Conduct

No form of harassment, bullying, discrimination, threatening, malicious, abusive, or otherwise objectionable conduct or language will be tolerated toward EnsembleIQ staff, attendees, sponsors, exhibitors, or service providers.

In an emergency or immediate danger, call 911.

Attendee Requirements

Admittance: Your registration entitles you only to admittance to the Event. All other costs associated with your attendance (e.g., travel and accommodation expenses) shall be borne solely by you, and EnsembleIQ shall have no liability for such costs unless otherwise agreed upon.

Use of Likeness: By registering for and attending the Event, you are acknowledging your understanding and acceptance that you may be included in photographs and/or video taken during the event and that these photographs and video footage may be used by EnsembleIQ in future promotional materials.

Attendee Badge Usage: Attendee badges must be worn at all times in Event areas. Badges are non-transferable. Any badge picked up on-site cannot be reassigned to another person.

Sponsor Badge Scanning: Sponsors are solely responsible for doing their own badge scanning at the Event. When a sponsor or exhibitor scans your badge at a booth, you are consenting to allow that sponsor to use your contact information to communicate with you about their services and special offers. If you choose to have your attendee badge scanned by a Sponsor at the conference, we will share your name and contact details with that Sponsor.

Please be aware that sponsor scanning of attendee badges is optional and attendees may–without penalty–refuse to have their badges scanned at booths. Event staff may scan badges at any time for security and educational purposes. Please comply with staff when this is required.

Age Requirements: All EnsembleIQ events are a business-to-business forum; therefore registration is restricted to the legal drinking age in the region where the event takes place. By registering for the event, you certify that you meet this requirement.

Visa Requirements: It is solely your responsibility to comply with any government visa requirements and failure to do so does not constitute a basis for a refund.

Photography, Recording, and Videotaping: You may not record audio or video of sessions or keynote presentations at the Event. EnsembleIQ allows cameras on the show floor. You may take pictures within the show for purposes of company reports, media pieces, or marketing materials.

No Solicitation: Only sponsors and exhibitors are allowed to hand out sales brochures, flyers, samples or other sales material to sponsors or other visitors at the conference. Sales brochures or flyers left about the conference will be thrown away. Visitors trying to distribute sales material at the conference will be asked to leave the event.

Denial of Admission: The event reserves the right to deny admission to anyone for any reason.

Cancellation, Substitution, and Lost Badge Policy

Cancellation/Refund Policy: A written notice must be received by the specific event dates on the registration payment page and may be subject to administration fees based on registration type.

Substitutions: Substitutions are only possible with EnsembleIQ approval. The event you attend may have additional policies on this matter.

Badge Issuance: Once you have received your badge on-site, it cannot be changed, substituted, or reissued to a different person.

Privacy Policy

We respect the privacy of the attendees and participants of the EnsembleIQ Events. For information on how we collect, use and disclose personal information, please see the EnsembleIQ Privacy Policy available at https://ensembleiq.com/privacy-policy.
